What partial payments are and how they are managed in events

What is a down payment?

A down payment is a partial payment made at the time of booking. Instead of paying the full price, the buyer pays an initial percentage and the remainder stays pending until a defined deadline.


How it works

  1. The price of a canvas element has a down payment configured (percentage + deadline).
  2. When booking, the buyer only pays the initial percentage.
  3. Before the deadline, the buyer must complete the remaining payment.
  4. If the payment is not completed before the deadline, the booking may be automatically cancelled.

Configuring a down payment on a price

The down payment is configured directly on the element's price (canvas). When creating or editing a price you can enable the down payment and specify:

Initial percentagePercentage of the total price the customer pays at the time of booking.
Payment deadlineMaximum date for the customer to complete the remaining balance.

Once the price with a down payment is saved, any booking that uses that price will automatically generate a pending down payment record.


Down payment statuses

StatusDescription
PendingThe customer paid the initial amount but has not yet completed the balance.
CompletedThe remaining balance was paid or manually marked as completed.
ExpiredThe deadline passed without the payment being completed.
CancelledThe down payment was cancelled.

Global management from the panel

From Events → Down payments you can view and manage all partial payments across all your events in one place.

Available filters

FilterDescription
SearchBy customer name, email, or phone.
Filter by eventShows only the down payments for a specific event.
Filter by statusPending, completed, expired, or cancelled.

Information per row

Each record shows: customer, event, initial amount, amount paid, original price, deadline, status, and creation date.


Available actions

ActionDescription
View down paymentOpens the full detail with customer information, payment progress, and associated booking.
Mark as completedManually marks the payment as completed. Useful when the balance is collected outside the system. This action cannot be undone.
Update deadlineExtends or moves up the payment deadline.
View customerNavigates to the customer's profile.
View bookingNavigates to the booking associated with the down payment.

Down payment detail view

When you open a down payment you see:

  • Customer information: name, email, phone.
  • Payment progress: bar showing how much of the total has been paid.
  • Secured prices: indicates whether the element prices are locked while the payment is pending.
  • Associated charge: reference to the initial payment charge.
  • Associated booking: status of the linked booking.
  • Reserved elements: which canvas elements are committed.

Down payments view per event

Inside an event's page, the Down payments tab shows all partial payments for that specific event, with the same actions to mark as completed and update the deadline.


Important restrictions

While a down payment is pending and active, the price of the element it is associated with cannot be modified.

The Mark as completed action is irreversible. Use it only when you confirm that the customer actually paid the balance outside the system.
