Manage the list of interested customers when an event is sold out

What is the waitlist?

The waitlist allows interested customers to register when an event is sold out. If a spot opens up (due to cancellation or another reason), you can check the list and notify those waiting so they can complete their purchase.

How does it work?

Viewing the Waitlist

From the event detail, access the Waitlist section. You will see all registrations in chronological order of sign-up. For each entry you will see:

  • Customer name
  • Contact email
  • Date and time they joined the list

Notifying the List

Notification to waiting customers is manual. The system does not send automatic notices when a spot opens up.

When you free a spot you have two options:

  • From Tickets → Cancel reservation: the system asks whether you want to notify the waitlist. Upon confirmation, it automatically sends an email notice to the registered people.
  • Direct contact: use each person's email on the list to communicate with them individually.

Tip: Establish a clear ordering criterion before opening up spots. First-come, first-served is the default criterion.

Relationship with the "Sold Out" Status

The waitlist is available while the event has the Sold Out status active. If you deactivate the Sold Out status and the event has spots available again, customers can purchase directly without going through the list.
